Receive and process orders on the platform

Receive and process e-orders on the eConnect platform: overview, statuses and order flip.

In addition to invoices, you can also receive and process e-orders via the eConnect platform. The order screen shows all incoming and outgoing orders and lets you convert a received purchase order into a sales invoice with a single click: the so-called order flip.

What are e-orders?

E-orders are electronic purchase orders sent via Peppol or other networks. Just like e-invoices, they are delivered in a structured format so you can process them directly without manual data entry. E-orders are mainly used in procurement-intensive sectors such as construction, government and professional services.

The order screen

You find the order screen under Order in the side menu. The overview shows all orders with the following information:

  • Order number: the purchase order number
  • Party name: the organisation that sent or received the order
  • Amount: the total amount of the order
  • Date: the date the order was created
  • Status: the current status of the order
  • Channel: which network the order arrived through (Peppol, DICO or another network)

Via the tabs All, Sent and Received you filter by direction.

Order flip: from order to invoice

The most powerful feature of the order screen is order flip. When you receive a purchase order, you can convert it into a sales invoice with a single click. All data from the order (order number, party details, amounts, lines) is automatically carried over to the invoice. You only need to review and click send.

This prevents typos, saves time and ensures the invoice exactly matches what the customer ordered.

Tip: the reference to the original order number is automatically included in the invoice via the OrderReference element in the UBL invoice. Many recipients (especially government bodies and large companies) require this order number on the invoice. That enables three-way matching: comparing the invoice, the order and the goods receipt side by side.

When do you see orders?

Three practical conditions apply for receiving and processing e-orders on the platform:

  1. Professional subscription or higher (including Enterprise). With a lower subscription the order screen does not appear in the side menu.
  2. Sufficient transaction credits for received documents.
  3. Active Peppol registration with order capability.

E-orders are natively supported on the eConnect PSB (Procurement Service Bus). Organisations that already exchange e-invoices via eConnect can add e-ordering without new infrastructure: the same API, webhooks and SMP registration.

Frequently asked questions
Which subscription do I need for e-orders?

E-orders are available from the Professional subscription, plus sufficient transaction credits and an active Peppol registration with order capability. With an Invoice Portal or Basic subscription the order screen does not appear in the side menu. You can upgrade at any time via My environment > Change subscription.

What is an order flip?

With order flip you convert a received purchase order into a sales invoice with a single click. Order number, lines, product codes and amounts are carried over automatically. This prevents typos and ensures the invoice exactly matches the order.

Which order standards are supported?

The platform supports Peppol Order Only (urn:fdc:peppol.eu:poacc:bis:order_only:3), Peppol Advanced Ordering (urn:fdc:peppol.eu:poacc:bis:advanced_ordering:3) with Order Response status codes AB/AP/CA/RE, DICO (including the maintenance message for construction) and orders via other procurement networks.
